Modular PRM... or DIY Nightmare

Why Modular PRMs Are Killing Your Channel Growth

I spent years as a channel chief, evaluating and deploying countless Partner Relationship Management (PRM) solutions. I’ve experienced firsthand what accelerates channel growth and, unfortunately, what stalls it.

I learned this lesson the hard way. When vendors talk about their PRM as “modular” or “fully customized,” it usually just means you’re about to pay for a complicated software project that never really ends. Trust me, I’ve been there.

Here’s an easy way to spot it. Ask your vendor to quickly show you a fully branded, fully functional trial of their entire platform, right out of the box, at no extra cost. If they hesitate or can’t do it, that’s your red flag. You’re probably not dealing with a true platform at all. You’re funding a development project they’ll rebuild from scratch every single time.

You’re Spending More and Getting Less

At first glance, modular PRMs seem attractive. You only pay for the modules you need. That sounds affordable and straightforward, but reality quickly sets in. Each essential component (partner onboarding, MDF management, deal registration, reporting, TCMA, integrations) becomes another costly module to purchase and maintain. Soon your system isn’t streamlined or cost effective; it’s fragmented, complicated, and expensive.

I’m talking with a prospect right now who’s caught up in this exact scenario. They went with one of those “pick-and-choose” partner platforms because it seemed like a smart way to manage their budget. But just a year in, they’re juggling more than a dozen separate add-ons, each with surprise fees, messy integrations, and billing nightmares. What started out looking flexible and affordable has become an expensive, frustrating patchwork that’s dragging their team down. Sound familiar?

Every new module meant another integration, creating more data silos, security risks, and operational headaches.

Customization Feels Great Until It Slows You Down

Customized PRMs promise solutions tailored perfectly to your business. However, the reality is often far different. Every minor adjustment or change triggers a new development cycle, vendor tickets, lengthy waiting periods, and additional fees.

I recently spoke to a channel leader who was incredibly frustrated because every minor update to their customized system had to go through a development team halfway around the world. Between the different time zones and constant miscommunications, even small changes took weeks. Their internal team was fed up, and their partners weren’t shy about sharing their annoyance with the slow responses. It was supposed to make life easier, but it ended up causing more headaches than it solved.

Instead of empowering your team, excessive customization leaves you completely dependent on vendor schedules and developer availability. Ultimately, your channel operations slow down, your team becomes frustrated, your partners suffer delays, and your costs escalate.

The Quick Test to Tell a Platform from a Project

Here’s a quick and effective test you can perform right now:

Ask your vendor for a fully branded trial that’s completely functional and demonstrates all core capabilities right away. If they struggle with this simple request, imagine how challenging it will be for your team to independently manage the solution after deployment. You will be dependent on them.

If they easily fulfill this request, it indicates two important things:

  1. The platform really is user-friendly and intuitive.
  2. The vendor genuinely cares about your success and has the infrastructure in place to support you effectively.

Difficulty with this simple task is a clear warning sign that you’re dealing with a complex DIY project, not a genuine platform.

Always evaluate what works “out of the box” first, before considering what a vendor promises they can deliver later, given enough time or money. Recognizing this early can save you significant headaches and costs down the road.

The Dirty Secret Is You’re Funding Your Vendor’s Growth

Here’s a hidden reality many vendors don’t disclose: your money isn’t just buying your solution; it’s funding their product roadmap. Every custom module or tailored feature you pay for eventually gets resold to other customers.

A customer recently told me about their experience with their previous provider. They’d spent tens of thousands of dollars funding custom-built features, only to watch that same provider turn around and offer those exact capabilities to new customers for far less. Basically, they paid extra so other companies could get a deal.

Support often prioritizes whoever pays the most, not necessarily who has the most urgent needs. Unless you’re a massive enterprise with enormous budgets, it probably won’t be you.

Unless You’re a Billion Dollar Giant, This Approach Will Sink You

Modular and/or highly customized PRMs truly benefit only multi-billion-dollar organizations. Large enterprises have vast budgets, extensive teams, and substantial resources to manage ongoing complexity and custom developments.

If this doesn’t describe your business, modular and customized PRMs are more likely to hinder growth than enable it, causing:

  • Rapidly escalating costs,
  • Minor adjustments turning into major projects,
  • Reduced agility and responsiveness, and
  • Support and service prioritization shifting elsewhere.

Simply put: if you’re not among the largest enterprises, these PRM models are risky and potentially harmful to your channel’s success.
